Customising Invitation Templates

Design review invitations that sound like you. Personalise SMS, WhatsApp, email, and Google messages with your branding, logo, and customer names.

Make every review invitation count. Your templates shape how customers respond to your invites. The better they feel personalised, the higher your conversion rates.

You can customise three invitation channels independently: SMS/WhatsApp, Hellopeter Email, and Google Email. Each channel has its own design controls and merge tags.

Note: Customer names and your business name are automatically included in all templates. You just need to add your own message.

Customising SMS and WhatsApp messages

Navigate to Collect → Templates and select the SMS / WhatsApp tab.

First, choose your link type. You can send customers a WhatsApp Review Link (they review via WhatsApp bot) or a Landing Page Link (they review on a dedicated page). Pick whichever fits your workflow.

Next, write your message. You have 160 characters to work with - we'll show a character counter as you type. The merge tags [user], [business], and [link] are automatically inserted into your template, so you don't need to add them manually. The counter shows how much space remains after tags expand.

Before you save, test your message. Enter a mobile number in SA format and tap Send Test. You'll receive the exact message your customers will see, so you can verify the merge tags work and the tone feels right.

Click Save Changes when you're happy.

Designing Hellopeter Email invitations

Select the Hellopeter Email tab.

Add your visual branding. Upload your business logo (PNG or JPEG, minimum 211 × 54 pixels) and a header image (600 × 150 pixels minimum). Both are optional - you can design a clean, minimal template without images if you prefer.

Now write your subject line and email body. The merge tags are already included for you. The preview shows exactly what customers see - your logo, header image, subject, message, and a "Publish Review" button.

Test your email by entering an email address and clicking Send Test. This is especially useful to check your logo and header display correctly.

Save when done.

Setting up Google Email invitations

Select the Google Email tab.

Before you start: You need a connected Google Business Account to use this channel. If you haven't connected yet, the tab will prompt you - select Connect Google Account to link your account first.

Once connected, you'll see your Google Business Account details and a review distribution slider.

This slider controls how review invitations are split between Google and Hellopeter. Slide to the right to send more customers to Google - slide left for Hellopeter. The percentage updates in real time. You might prioritise Google if you're focused on improving your Google Business Profile rating, or split evenly across both.

Note: Customers can only leave a Google review if they have a Gmail or G Suite email address. Hellopeter automatically detects each customer's email provider and only sends Google invitations to eligible addresses. Customers without a Gmail address always receive a Hellopeter invitation, regardless of your distribution setting.

Upload your logo and header image (same dimensions as the Hellopeter Email channel), then write your subject line and email body. The merge tags are already included. The preview shows a "Review on Google" button instead of "Publish Review" to highlight the Google destination.

Test and save as usual.

Tip: Keep your subject line short and benefit-focused - "Help us improve" or "Share your experience" tend to outperform generic asks.

Merge tags and personalisation

All templates use merge tags to automatically insert the customer's name (`[user]`), your business name (`[business]`), and the review link (`[link]`). These are pre-populated in your templates - you don't need to add or manage them manually.

Plan and feature availability

All template customisation features are available on every plan - Free Trial, Growth Monthly, Growth Annual, and Premium.

Google Email features require a connected Google Business Account, which is not plan-gated. Any plan can connect and use Google Email templates once the integration is set up.
