Sending Review Invitations

Send personalised email and SMS invitations to your customers to collect reviews on Hellopeter and Google.

Review invitations are the fastest way to build your review profile. Customers receive a branded message with a direct link to leave a review - no sign-up required, which means higher conversion rates. You can send invitations one at a time or upload a spreadsheet of up to 500 contacts.

Before you start: You'll need at least one valid customer email address. If you want to send SMS invitations as well, you'll need a South African mobile number. Make sure you've customised your invitation templates before your first send.

How invitations work

When you send an invitation, Hellopeter delivers a branded email to your customer. If you've provided a mobile number, an SMS is also sent automatically - this counts as a single invitation, not two.

Your email invitations are split between Hellopeter and Google based on the distribution percentage you've set in your templates. Since customers can only leave a Google review with a Gmail or G Suite account, Hellopeter automatically detects each customer's email provider and only sends Google review invitations to eligible addresses. Customers without a Gmail or G Suite address always receive a Hellopeter invitation, regardless of your distribution setting.

SMS invitations always link to Hellopeter (either via WhatsApp or a landing page, depending on your template settings).

Send invitations using the 3-step wizard

Navigate to Collect → Send Invites in the sidebar to open the send wizard.

Step 1: Add your contacts

You can add contacts in two ways:

Add individually - Enter a first name (required), email address (required), and mobile number (optional). Click Add another contact to add more rows. The wizard checks for duplicates on both email and mobile number as you go.

Upload a spreadsheet - Download the template file by clicking Download template, fill it in with your contacts (first name, email, mobile number), and drag it into the upload area. The wizard accepts XLSX, XLS, and CSV files with up to 500 contacts. Mobile numbers missing a leading zero are corrected automatically.

A summary bar at the bottom shows your total contacts, how many are valid (green), and how many have issues (red). Click Next when you're ready.

Step 2: Review and clean your list

The wizard checks each contact against your invite history and flags any issues. You'll see a table with every contact's status, name, email, mobile number, and any issues found.

Common issues include:

•       Recently invited - A 7-day cooldown applies between invitations to the same email address. The wizard shows exactly when each contact becomes eligible again.

•       Invalid email or mobile format - Edit these inline by clicking the field directly in the table.

•       Duplicate entries - Flagged automatically during the add step.

Use the search bar to find specific contacts, or click Remove all invalid to clean your list in one step. You can also delete individual contacts using the remove button on each row.

Tip: If most of your contacts show a "recently invited" warning, you can manage resends from your Invite History once the 7-day cooldown passes.

Step 3: Confirm and send

The final step shows a summary of exactly what will be sent:

•       Total contacts - The number of valid contacts remaining after cleanup.

•       Emails to send - All contacts receive an email invitation.

•       SMS to send - Only contacts with a mobile number receive an SMS.

A breakdown shows how many contacts will receive both email and SMS versus email only. You'll also see a reminder of your current Google vs Hellopeter distribution split and which SMS link type you're using (WhatsApp or landing page).

Click Send [X] Invites to send. You'll see a confirmation screen with a green checkmark once your invitations are on their way, along with a link to track their performance in your Invite History.

Note: If some invitations fail to send, you'll see a partial success message with details. You can resend failed invitations from your Invite History straight away.

Resending invitations

Invitations that haven't converted to a review can be resent once, starting 7 days after the original send. You can do this from the Invite History page - see Tracking invitation performance for the full resend workflow.

Resends don't use additional credits.

Tips for higher conversion rates

•       Your templates are already personalised - Hellopeter automatically inserts each customer's name into your invitation. Focus your template customisation on the subject line and body copy instead.

•       Send at the right time - Tuesday to Thursday mid-morning tends to perform best. Avoid Monday mornings and Friday afternoons.

•       Include a mobile number - Contacts who receive both email and SMS are more likely to convert than email-only.

•       Follow up once - Use the resend feature for unconverted invitations after the 7-day cooldown. One follow-up is usually enough.
