QR Codes for Review Collection | Hellopeter

Using QR Codes for Review Collection

Generate branded QR codes for each business location. Print them on receipts, counters, and marketing materials to make review submission instant.

QR codes cut out the friction. Customers scan, review, done. No typing URLs. No finding your business. The QR takes them straight to their review form for that specific location.

You can generate a unique QR code for each branch. Print them on receipts, counter displays, posters, or packaging. When scanned, customers land on a review page pre-selected for that location.

Navigate to Collect → QR Codes to get started.

Understanding your QR code quota

At the top of the page, a usage bar shows how many QR codes you've created and your plan limit.

Free Trial and all Growth plans include 10 QR codes. Premium plans include 200. The Add Branch button is only available when you're under quota. If you've hit your limit, you'll need to delete unused codes or upgrade your plan to create more.

Creating a new QR code

Click Add Branch to create a QR code for a new location.

Two options appear:

Single mode - Add one branch at a time. Enter the branch name (e.g., "Sandton Store", "Cape Town Head Office"). The system generates a URL slug automatically. Make sure branch names are unique - you can't have two codes for "Main Branch".

Bulk mode - Upload multiple branches at once using the provided Excel template. Download the template, fill in your branch names (one per row), and upload the .xlsx or .xls file. Duplicates are automatically filtered. This is fast if you're setting up QR codes for 10+ locations.

Once you've added a branch, it appears in your branch list, and a branded QR code card generates instantly.

Downloading and printing your codes

The QR Preview card shows your code in a branded Hellopeter template. It displays "Review us on" with the Hellopeter logo, your scanned QR, a smiley icon in the centre, and your branch name.

Choose your size:

•       Small (35 × 35 mm) - Fits email, invoices, and small printed materials.

•       Large (100 × 100 mm) - Visible from a distance; ideal for counter displays, posters, and packaging.

Click Download to save the QR code as a PNG file. Print it as-is, or embed it into your marketing materials, receipts, or point-of-sale systems.

You can download as many times as you need. Each file is a clean PNG ready for print.

Monitoring QR code performance

Below the preview card, stats show how your code is performing:

Total Scans - How many customers have scanned this QR code.

Reviews - How many scans led to a submitted review (your conversion rate).

This tells you which branch locations drive the most reviews and which codes might need repositioning or more visibility.

Managing your branches

The branch list shows all your codes. Search by branch name, sort by Name (A-Z or Z-A), Date Added, or Scans, and view scans and reviews for each.

Your "Main" branch is your default location and cannot be deleted. The Main branch QR code drives customers to WhatsApp, where the bot guides them through leaving a review in chat. All other branch QR codes drive customers to a review landing page for that specific location.

Click a branch to preview its QR code immediately.

Deleting a QR code

If you want to retire a location or replace an old code, click the delete icon next to the branch name. A confirmation warning appears:

"Any printed materials with this QR code will stop working"

This is important - if you've already printed 10,000 receipts with this code and delete it, those receipts become useless. Make sure you're ready before confirming.

After deletion, a toast confirms "QR code deleted" and the branch is immediately removed from your list.

Note: This action cannot be undone. If you deleted a code by mistake, you'll need to recreate the branch.

Using QR codes across multiple locations

If you operate in multiple cities or have several branches, create a separate QR code for each. Each code's review page will be pre-selected for that location, so customers reviewing "Sandton Store" submit reviews specifically for Sandton, not your main office.

This keeps your reviews organised by location and gives you detailed insights into how each branch is performing.

Customers see the branch name when they scan, so they know which location they're reviewing. This is especially powerful for multi-branch businesses wanting branch-specific feedback.

Best practices for QR code placement

On receipts - Print the QR code at the bottom of every receipt. Customers see it immediately after purchase, when satisfaction is highest.

On counter displays - A framed QR code at checkout asks for immediate feedback. Pair it with a sign: "Scan to share your feedback".

On packaging - If you ship products, include a QR code on the box. Customers scan after unboxing.

On posters - Display at your entrance or in waiting areas with messaging like "Your feedback matters - scan to review".

In email footers - Add the QR code to marketing emails and receipts.

On business cards - Include alongside your contact details.

Tip: Test your QR code on mobile before printing. Scan with a smartphone camera to make sure it works and lands on the correct branch page.

Combining QR codes with other collection methods

QR codes work best alongside other collection channels:

Invitations - Send personalised review invites via email and SMS to customers by contact.

Share Links - Promote your Review Landing Page and WhatsApp Review Link on your website, social media, and anywhere your customers already are.

QR Codes - Print on physical materials at your location for customers to scan.

Together, these create multiple paths for customers to review. Some prefer email invites, others scan a QR code at your location, others discover your review links on your website or social media. The more entry points, the more reviews you collect.
